New South Associates, Inc. is seeking a Program Manager in the Stone Mountain, Georgia headquarters. This is a salaried full-time exempt position with benefits. New South Associates is a women-owned small business with a core mission to serve as a research oriented, technology-driven cultural resources consultant that produces quality and timely products for our clients while offering a work climate that promotes professional development and a commitment to home communities. We have offices in Georgia, North Carolina, South Carolina, Tennessee, and Virginia, and primarily engage in cultural resource management (CRM) archaeology and history services for private, state, and federal clients primarily in the Southeastern and Mid-Atlantic United States.

The Program Manager supports the Director of Administration and works with the Associate Director of Administration to manage New South’s Administration Department. This department provides support to New South’s technical departments so they can carry out our core CRM services.

Job Duties

Administration Management

- Supports the Director of Administration in overseeing daily department operations. This may include supervising, mentoring, or directing Administrative staff in the absence of the Director and Associate Director.

- Assisting the Director in setting organization goals, developing policies, and implementing procedures.

Contracting

- Oversees contract review, preparation, and routing for internal and external approvals.

- Supervises the Administrative Assistant, who is primarily responsible for contract review and routing.

Program Management

- Manages on-call contracts with primarily federal clients as assigned.

- This includes working with Project Managers or Principal Investigators assigned to each project to track performance.

- Identify and escalate issues with recommended solutions.

- Track overall on-call contract metrics.

- Provide or facilitate progress reports and invoices.

- Maintains the on-call contract information in an in-house FileMaker project management database, Waymark.

Project Management and Project Administration

- May serve as a Project Manager or Project Administrator on specific projects.

- Responsibilities for this role will vary by project and technical staff assigned, but may include the following:

o Coordinates budgets, deliverables, and schedules across multiple technical departments.

o Manages or facilities the use of MS Teams and Planner for task management and communication.

o Schedules and facilitates internal meetings as needed; kick-off, post-field, progress, report planning, and closing.

o Prepares monthly progress reports as required by the client.

Project Database (Waymark)

- Works with the Office of Program Management and Director of Administration to maintain and improve New South’s project tracking database. This is a custom FileMaker database that tracks key metrics of all projects, proposals, opportunities, master agreements and on-call contracts, and clients.

- Meets monthly with FileMaker developer to identify and prioritize development needs.

- Maintains a list of ongoing Waymark issues or possible enhancements.

- Works with the Office of Program Management and Director of Administration to prioritize maintenance issues and enhancements for the developer.

- Provides training and guidance to staff on the use of Waymark. Developed in collaboration with the Office of Program Management.

- Supervises Administrative Assistant who is responsible for importing job status reports from Accounting into Waymark following each pay period.

- Supports the Office of Program Management in setting up new projects in Waymark and on the server.

Proposal Support

- Reviews budgets and technical proposals on an as needed basis.

- Supports proposal development including preparing budgets, compiling previous experience information, and writing technical proposals.

Minimum Qualifications

· MA (preferred), BA (minimum) in cultural resource management (or related fields), or business administration, environmental policy, environmental science, project management.

· At least 3 years of experience in project coordination or project management. PMP or CAPM is preferred but not required.

· Excellent oral and written communication skills.

· Experience with environmental coordination (Cultural Resources/NEPA/GEPA) preferred.

· Proficiency with Microsoft 365 apps and services preferred.

· Current legal authorization to work in the United States

Salary and Benefits

The exempt salary for this position is $65,000-75,000, depending on an applicant’s education, qualifications, and experience. Position benefits include medical, dental, and life insurance (premiums paid by New South Associates, Inc.), vision insurance, paid time off for vacation or sick leave, nine paid holidays, annual profit sharing through a qualified bonus program, and optional enrollment in our 401k plan with employer contribution after one year.
